Job description

About Time Doctor

Time Doctor is a workforce analytics platform that gives leaders AI-powered, actionable insights into how work actually happens. By turning activity and productivity data into practical intelligence, Time Doctor helps organizations make smarter decisions, support employee well-being, and lead with trust, not control, across remote, hybrid, and in-office teams.

The Role

We’re looking for a Payroll Operations Manager to own and professionalize our end-to-end global payroll function. We operate a 140-person distributed workforce across multiple countries, currencies, employment types, and payment platforms. This role is responsible for building a structured, accurate, and audit-ready global payroll operation.

Who We're Looking For

We are NOT looking for
❌ Payroll processors who only run cycles without improving systems or controls
❌ Candidates who rely fully on automated tools and struggle in semi-manual environments
❌ People who wait for perfect inputs instead of proactively identifying and fixing gaps

We ARE looking for
✅ A true owner of payroll who takes accountability for accuracy and timeliness
✅ Someone who can bring structure to complex, multi-country payroll operations
✅ A detail-oriented operator who catches errors before they happen
✅ A systems thinker who builds scalable processes, not just executes tasks
✅ Someone who collaborates effectively across HR, Finance, and leadership

Job requirements

What You’ll Do

End-to-End Payroll Ownership
Own the complete global payroll lifecycle (HR inputs → payroll calculation → platform upload → reconciliation → reporting). Manage bi-monthly payroll cycles and monthly exceptions, ensuring accurate and on-time payments for employees and contractors. Develop structured payroll calendars, submission deadlines, and clear ownership across stakeholders.

Global Multi-Platform Payroll Execution

Manage payroll distribution across Wise, Payoneer, Deel, and Gusto. Prepare and validate platform-specific CSV uploads, ensuring correct formatting and compliance. Reconcile payments post-disbursement and ensure funding accuracy across all systems.

Payroll Process Governance & Internal Controls

Design and implement payroll validation checkpoints to prevent errors and missed inputs. Build structured HR-to-Finance payroll submission controls covering onboarding, offboarding, salary updates, bonuses, commissions, and reimbursements. Improve data integrity between BambooHR and payroll models. Develop and document standardized payroll SOPs to reduce operational risk and improve consistency.

Multi-Currency & Global Payroll Management

Manage payroll across multiple currencies and jurisdictions. Validate exchange rates and ensure currency accuracy. Handle different worker types including employees, contractors, hourly workers, and monthly-paid exceptions. Maintain structured payroll models in Google Sheets.

Variable Compensation & Adjustments

Own commissions and bonus calculations end-to-end. Validate inputs with Sales and department leaders. Ensure accurate and timely variable compensation payouts. Maintain supporting schedules and audit documentation.

Payroll Reconciliation & Financial Reporting

Prepare bi-monthly payroll reconciliations. Tie payroll outputs to budgets and department allocations. Investigate and resolve payroll variances. Maintain payroll accrual schedules for month-end close. Update department budgets post-payroll to improve leadership visibility.

  • Experience working in remote or distributed teams

Preferred

  • Experience scaling payroll in high-growth environments
